Getting Ready:

Tips for a Smooth Start

The getting-ready process can take longer than expected, especially with a large bridal party. consider, hiring additional makeup artists and hairstylists to keep things moving smoothly.

It’s best for the bride to get her makeup and hair done last, ensuring she looks fresh for the ceremony. Coordinate with your photographer to capture both the bride and groom during this stage. Work with your hair and makeup team to determine how much time they’ll need and then add extra time to your schedule for peace of mind and a stress-free morning.

Ceremony Timing:

Consider the Season and Time of Day

When planning your wedding timeline, consider the season and time of day. For summer weddings, I recommend to opt for a later afternoon ceremony to avoid the midday heat and ensure better lighting for your photos (especially for outdoor ceremonies). For winter weddings, I think it is best to plan an earlier ceremony so you don’t lose the light for your photos. If all the event are happening inside tho you don’t need to be to cocered about when the sun sets.

When planning your wedding schedule, it’s also a good idea to leave 1-2 hours between your ceremony and reception. This allows time for portraits, group photos and you don’t want to leave your guest for to long before the party starts. If you are unsure on how how much time you need for your ceremony, talk to your celebrant. Normally in New Zealand they are around 20 minutes.

Allocating Time for Photos

Don’t forget to allocate plenty of time for photos in your wedding timeline. Here’s a rough guide:

  • Group photos: 10-15 minutes
  • Family photos: 10-15 minutes
  • Couple portraits: 45 minutes

If you want your photos taken outside, the later in the day the better lighting wise. Make sure to plan travel time if your portraits are being taken at an offsite location. It’s important to build this into your run-sheet. Also, Be aware of traffic or special events that may affect your route to the venue.

Reception:

Organizing the Main Events

To make sure everyone is on the same page, it is a good idea to include all the different details for your reception and have a clear structure in your timeline. One thing I really love is to have the bride and groom take 10 minutes out of the reception to get a few sunset portraits. They are often the favourite photo’s and it’s nice for them to have a moment away from everyone to reflect on there day before hitting the dance floor.

How to Plan Your Wedding Timeline

Here are the key moments to include:

  • Guests seated at the reception
  • Bride and groom entrance
  • Cutting the cake
  • First dance
  • Speeches
  • Sunset portraits (if applicable)

If you want to capture the perfect sunset photo, find out the exact sunset time on your wedding day and schedule a 10-minute session during the reception.

Don’t worry and enjoy your self!

Don’t worry if things not go exactly as scheduled. You can’t control the weather, sometimes events take a little longer, things happen. Be flexible and don’t sweat the small stuff. Unexpected moments often turn into the best memories. As long as you’ve built buffer time into your timeline and communicated well with your vendors, any small adjustments will be handled smoothly.
